Give every screen a defined role
Start by identifying the audience, location and purpose of each screen. A window display, reception screen, menu board and staff display should not automatically share the same layout or content rhythm. Clear roles make it easier to build useful screen groups.
Design a reusable content system
Create templates for recurring messages and prepare versions for portrait, landscape and specialist formats. Establish safe areas, type sizes, duration rules and brand assets so local teams can update information without rebuilding the visual system.
Set permissions and approval routes
Decide which content is controlled centrally and which can be local. A CMS can separate user permissions by region, brand, venue or screen group. The approval process should be simple enough for timely updates while protecting high-risk or regulated messages.
Schedule, monitor and improve
Use a content calendar that reflects campaigns, operational events and local trading patterns. Monitor publishing activity and screen status where supported. Measurement might include content compliance, interaction, enquiries, queue behaviour or campaign-specific commercial indicators.
Next step
Turn the general guidance into a project brief by recording the site, audience, viewing distance, ambient light, operating hours, content sources, connectivity, mounting and support needs.
